If Google app passwords are missing, first ask whether the app needs one. Google recommends Sign in with Google for supported clients and says app passwords are unnecessary in most cases. Their absence is not a reason to weaken the account’s existing protection.
Check the client’s modern sign-in option
Update the mail app or device software through its official channel and look for a Google account or OAuth sign-in route. Complete the genuine Google flow and required verification where supported.
A newer client can remove the need for a legacy app password altogether. A normal password entered into an older manual authentication dialog is not the same process.
Review eligibility without changing safeguards
Google’s app-password guidance requires 2-Step Verification. It lists possible reasons the option is absent, including some managed accounts, security-key-only verification arrangements, and Advanced Protection.
These are account conditions to understand, not a checklist for removing protection until the option appears. For work or school mail, ask the administrator whether the device and method are approved.
Choose an authorized alternative
- Confirm the intended Google account rather than another signed-in profile.
- Identify whether the client genuinely lacks modern sign-in.
- Use the supported authorization route or a suitable current client.
- For an approved legacy device, follow the official eligible account process only if available.
Do not share the generated secret with support or store it in a public note. If a device cannot meet the organization’s security requirements, replacing or updating the device can be more appropriate than changing the account’s safeguards.
A missing app-password menu is also different from an existing app password that stopped working. Google revokes app passwords after a Google password change, and users can remove individual app authorizations. Investigate that event separately.
Preserve local drafts before removing an old connection. Avoid repeated sign-in attempts with guessed passwords, and do not assume that paying for a different Google storage plan unlocks a security feature controlled by account type or policy.
