A Google Workspace email alias is not a separate Google Account. To read mail delivered to that alias, sign in with the user’s primary Workspace identity. An alias receiving messages does not mean it has its own password or can be added as another independent account.
Confirm the primary identity
Ask the administrator which primary account owns the alias. For example, a role address can route to one employee’s existing mailbox. The person should use their primary sign-in and required organizational verification.
Do not keep attempting password resets for the alias or create an unrelated personal account to match the address. Those actions do not convert the administrator’s routing assignment into a separate managed identity.
Separate receiving from sending
Incoming mail to the alias can appear in the primary mailbox. To send with the alias displayed in From, the user may need the appropriate Send mail as setup and organizational permission.
Check a harmless incoming example and an outgoing reply separately. A successful delivery to the alias does not prove that replies automatically use it. Inspect the selected From and Reply-to addresses before sending sensitive content.
Distinguish other address types
- Confirm whether the address is a user alias, group, or separate account.
- Ask who owns and manages its access.
- Verify the intended mailbox and sending workflow.
- Document the primary login without sharing its password.
A group address and a separately licensed user can look similar to an alias in a directory. Only the actual configuration determines the correct access route.
Google’s alias guidance also notes that aliases are not a privacy boundary; related addresses can sometimes be visible to other users. Do not promise anonymity from an alias.
If access is needed by several people, request an approved shared-work or delegation arrangement from the administrator. Do not distribute one user’s credentials or remove an existing alias before checking its business dependencies. The appropriate fix for an alias login failure is understanding the primary identity, not weakening the account’s sign-in protections.
