Gmail Rejects a Message With Too Many Recipients: Check the Limit and Sending Method

2026年10月29日 by wisechecker

A too-many-recipients error concerns the number of destinations in a message or sending transaction. It is different from the account’s daily message allowance. Check To, Cc, Bcc, the account type, and the sending method before changing the recipient list.

Identify the limit that applies

Personal Gmail’s help describes an error for a message addressed to more than 500 recipients. Workspace has a separate table with route-specific limits: the ordinary web-message limit differs from SMTP client, Gmail API, and specialized mail-merge submissions.

Do not apply the largest number in the table to every client. For managed accounts, ask the administrator which route and account status are in use. Trial accounts and other restrictions can differ.

Review every recipient field

  1. Expand To, Cc, and Bcc.
  2. Check whether an address list or imported contact selection added more destinations than intended.
  3. Remove obsolete or incorrect recipients through the approved process.
  4. Review whether some recipients already received a previous attempt.

Bcc protects the visible recipient list but does not make recipients disappear from sending counts. Mail merge also has its own counting rules, including copied recipients.

Choose a suitable authorized distribution method

For a legitimate large announcement, involve the administrator and use an appropriate group or mailing platform with the required permissions, subscription handling, and limits. A group’s own posting and delivery rules still apply; a group address is not a universal quota bypass.

Do not divide a mailing into rapid bursts or rotate accounts merely to evade a rejection. That can create more restrictions and increase duplicate or unwanted deliveries.

For a small corrected message, use a harmless test and verify the result before resending sensitive material. Retain the error and sending method for support. The appropriate outcome is a valid, authorized recipient set sent through a supported route, not simply removing enough visible names to make a warning disappear while leaving the underlying distribution problem unresolved.
