Gmail Says an Attachment Is Too Large: Check File Size and Drive Sharing

2026年10月28日 by wisechecker

If Gmail says an attachment is too large, compare the complete message with the limit that applies to your account and sending method. Repeating the upload or renaming the file does not reduce its size.

Identify the applicable limit first

Personal Gmail’s current documented attachment limit is 25 MB. For work or school mail, check the organization’s policy and Google’s edition-specific sending table. A larger allowance available to an eligible web account is not a universal Gmail limit.

Also inspect the protection mode. Google’s client-side encryption guidance lists a separate 5 MB upload limit for attachments and inline images when additional encryption is enabled. Do not compare an encrypted composition only against the usual unencrypted attachment allowance.

Choose a suitable way to share the file

For a large approved document, a Drive link may be more suitable than embedding a copy in the message. Gmail can replace oversized attachments with a Drive link, and you can also insert a file directly using the Drive control.

Before sending, confirm that the intended recipient can access the exact file. Give only the role needed for the task. If the owner or organization prohibits external sharing, ask for an approved transfer route rather than changing the file’s visibility indiscriminately.

If a smaller file copy is appropriate, create it from the original in the document’s own application and verify its contents. A reduced PDF or image can omit detail or change quality. Keep the original intact and make sure the recipient receives the intended version.

Check the resulting delivery object

Read the final draft and the sent message to determine whether it contains an attachment or a Drive link. The recipient’s experience differs: a downloaded copy is separate from the source, while a Drive link depends on its current sharing permissions.

Do not split a confidential document into untracked copies solely to defeat a restriction. If the recipient requires a particular submission format, check that requirement before substituting a cloud link. A message that sends successfully can still fail the recipient’s access or processing requirements.
