If Gmail sends from several authorized addresses, check the signature associated with each From address. The correct business name in a footer does not change the actual sender identity, and a shared default can leave one address using another address’s contact details.
Confirm the sending address is configured
Open Gmail on a computer and inspect Accounts and Import → Send mail as in the full settings. Confirm that the intended address is listed and that any required verification or setup has been completed.
Use only addresses you are authorized to send from. Adding someone else’s details to a signature is not verification of control over their mailbox. If an organization manages the address, follow its account and sending policies.
Google has announced that Send as for third-party addresses such as Yahoo and Outlook will end starting January 2027. Its notice excludes Google Workspace aliases and other Gmail addresses you own. Check that transition separately when maintaining a third-party identity.
Assign the signature under that address
Under General, open the Signature area. Google’s instructions use the address selector above the signature text box to choose a Send mail as address. Select the appropriate saved signature and check the defaults for new messages and replies, then save changes.
If the address selector is missing, return to the Send mail as list and verify the address configuration instead of repeatedly creating signature variants. Keep the sender setup problem separate from the footer editor.
Test a new message and a reply
In a fresh draft, expand the From field and select the intended address explicitly. Confirm that the visible signature matches it. Then test a reply, because the address used for replies and its signature default may differ from a new message’s defaults.
Inspect the received test’s sender details as well as the message body. Gmail documents circumstances in which recipients can see information about another sending account, so the footer alone cannot establish how the sender will be displayed.
If a gateway or centrally managed signature service also modifies outgoing mail, coordinate the final result with the administrator. Make one targeted change at a time and preserve working send-as settings. Removing and recreating the entire address configuration is unnecessary when the problem is only the selected signature.
