How Contact Lists Work in New Outlook vs Classic Outlook

In Classic Outlook, contact lists were called distribution lists and were stored as items in the Contacts folder. You could access them through the Navigation Pane under the Contacts module. The new Outlook for Windows replaces the Contacts folder with a People section that includes separate tabs for Contacts and Contact Lists.   2. Select the Contact Lists tab
    At the top of the People view, you see two tabs: Contacts and Contact Lists. Click Contact Lists. All contact lists that existed in Classic Outlook appear here. If you do not see any lists, wait a few minutes for the sync to complete or restart the new Outlook.
  3. Open a contact list to view members
    Double-click any contact list in the list. A window opens showing the list name and the members. You can add or remove members from this window.
  4. Send an email to the contact list
    Click New mail on the ribbon. In the To field, start typing the name of the contact list. Select the list from the autocomplete suggestions. Alternatively, click the To button above the To field, select Contact Lists on the left, choose the list, and click To. Then click OK.

Creating a New Contact List in New Outlook

  1. Open the People section
    Click the People icon on the left navigation bar.
  2. Click New contact list
    On the ribbon at the top, click New contact list. A window opens with fields for the list name and members.
  3. Name the contact list
    In the List name field, type a descriptive name. Example: Marketing Team or Project Alpha.
  4. Add members
    In the Members section, click Add members. A dialog opens where you can search for contacts in your address book. Select one or more contacts and click Add. Repeat to add more members.
  5. Save the contact list
    Click Save at the bottom of the window. The new contact list appears under the Contact Lists tab in the People section.

  1. Open the People section and click Contact Lists
    Click the People icon and then the Contact Lists tab.

    To add a member, click Add members, search for the contact, and click Add. To remove a member, hover over the member’s name and click the X that appears next to the name.

My contact lists from Classic Outlook are missing in the new Outlook

If your contact lists do not appear under the Contact Lists tab, check that you are signed into the new Outlook with the same Microsoft 365 account that you used in Classic Outlook. Contact lists created in Classic Outlook are stored in your Exchange Online mailbox. If you used a POP or IMAP account in Classic Outlook, contact lists are stored locally in a PST file. The new Outlook cannot import PST files automatically. You must import the PST file into the new Outlook using File > Open & Export > Import/Export.

The contact list name does not appear in autocomplete when composing an email

The autocomplete cache in the new Outlook may not include contact lists immediately. Type the full name of the contact list in the To field and press Enter. The list name should resolve after you send one email to it. Alternatively, click the To button and select the contact list from the Contact Lists folder manually.

I cannot add external email addresses to a contact list

Contact lists in the new Outlook only accept members that exist in your address book or your Outlook contacts. To add an external email address, first add that person as a contact in the People section. Then add that contact to the contact list.
