How to Apply Style Set to All Documents in a Project

You have a collection of Word documents that need to share the same fonts, heading colors, and paragraph spacing. Applying a Style Set to each file one by one is tedious and error prone. Word lets you save a custom Style Set from one document and apply it to others in the same project. This article explains how to create, save, and apply a Style Set across multiple documents so your project keeps a consistent look.

Key Takeaways: Applying a Style Set to Multiple Documents

  • Design tab > Style Set gallery > Save as New Style Set: Saves the current document’s styles as a .dotx file in the Quick Styles folder.
  • Design tab > Style Set gallery > Open from file location: Lets you copy a custom Style Set .dotx file to another computer or share it with your team.
  • Design tab > Style Set gallery > pick the saved Style Set: Applies all heading, body text, and list styles from the saved set to the active document.

What Is a Style Set in Word

A Style Set is a collection of paragraph, character, and linked styles saved into a single .dotx file. It stores the font, size, color, spacing, and border settings for each style in the set. When you apply a Style Set to a document, Word replaces the document’s style definitions with those from the set. The text content stays unchanged.

Word ships with built-in Style Sets such as Casual, Elegant, and Modern. You can also create your own. A custom Style Set is stored in the Quick Styles folder under your user profile. From there it appears in the Style Set gallery on the Design tab.

Prerequisites for Using Style Sets

Before you start, make sure your source document uses the built-in style names: Normal, Heading 1, Heading 2, Title, Subtitle, and so on. A Style Set only updates styles that exist in the set. Custom style names like MyCustomHeading are ignored when you apply a Style Set to another document. Rename your custom styles to match built-in names if you want them to carry over.

Steps to Create and Save a Custom Style Set

  1. Open the document with the styles you want to reuse
This is your source file. It should contain the exact formatting you want in every project document.
  2. Go to the Design tab
Find the Design tab in the ribbon. It is located between the Insert and Layout tabs in most Word versions.
  3. Click the More button in the Style Set gallery
The Style Set gallery is the first group on the Design tab. Click the downward arrow or the More button to expand the gallery.
  4. Select Save as New Style Set
At the bottom of the gallery, click Save as New Style Set. A Save As dialog opens.
  5. Name the Style Set and click Save
Type a descriptive name such as Project2025_StyleSet. Keep the .dotx extension. Word saves the file to the Quick Styles folder by default. Do not change the folder location.

Steps to Apply the Style Set to Another Document

  1. Open the target document
Open any document in your project that needs the same formatting.
  2. Go to the Design tab
Click the Design tab in the ribbon.
  3. Click the More button in the Style Set gallery
Expand the Style Set gallery as you did before.
  4. Select your custom Style Set from the gallery
Your saved Style Set appears under Custom in the gallery. Click it. Word applies all style definitions from the set to the current document.

Apply the Style Set to Multiple Documents at Once

Word does not have a batch apply command for Style Sets. To apply the same set to many files, open each document and repeat the steps above. To speed up the process, keep the source document open and use Alt+Tab to switch between files.

If a Style Set Does Not Apply Correctly

Styles are missing or look different after applying the Style Set

The target document may contain direct formatting that overrides the style definition. Select all text with Ctrl+A and press Ctrl+Spacebar to remove direct character formatting. Then reapply the Style Set. If the document uses custom style names, rename them to built-in names before applying the set.

Custom Style Set does not appear in the gallery

The .dotx file must be in the Quick Styles folder. The default path is:
%appdata%\Microsoft\Quick Styles
Press Windows+R, paste that path, and press Enter. If your .dotx file is missing, copy it there from a backup or recreate the set.

Style Set changes revert after closing the document

The document may be linked to a template that overrides the Style Set. Go to File > Options > Add-ins. Check that no global template is forcing style definitions. Remove or disable any custom global template in the Manage drop-down under Templates.

Built-in Style Sets vs Custom Style Sets

Item Built-in Style Sets Custom Style Sets
Availability Pre-installed with Word Created by user
File location Word program folder Quick Styles folder under user profile
Modification Cannot be overwritten Can be updated by saving again with the same name
Sharing Not portable Copy the .dotx file to another PC
Number of styles Fixed set of about 20 styles Includes all styles present in the source document

You can now save a custom Style Set from one document and apply it to every file in your project. Use the Design tab gallery to select the set. For files that resist the change, strip direct formatting with Ctrl+Spacebar. To share the set with colleagues, copy the .dotx file from the Quick Styles folder and paste it into the same folder on their machine. This method keeps your project consistent without redoing formatting in each document.
